When your team knows the goal, everything changes

Apr 04, 2025

Does your practice feel a little chaotic sometimes? You’re not alone.

Each week in Calm the Chaos, I share actionable strategies, real-world stories, and simple tech solutions to help you take control and create a better experience for your patients and team.

Let’s talk about how knowing your numbers and tracking progress can transform the way your team shows up each day.

STORY TIME:

How One Podiatry Practice Used a Patient Volume Goal to Boost Team Momentum

BEFORE THE FIX

A solo-physician podiatry practice had a common issue.

Staff were busy, but the team lacked direction. Everyone was working hard, but no one could say whether they were truly on track. There was no clear goal and no system in place to measure progress.

THE SOLUTION

We worked together to set a clear, visible goal: see 300 patients in March.

Once the goal was announced, we began sharing weekly progress updates.

With just two days left in the month, this was the update from the practice manager to her team:

By tracking results in real time and giving regular updates, the team could see exactly how close they were to success.

THE RESULTS

✅ Team engagement skyrocketed

✅ Motivation increased with every update

✅ The practice hit 96% of its goal and and kept climbing to 324 total patients seen

This is a real-life example of something I talk about in Medical Practice Makeover.

Knowing your numbers fuels momentum.

ACTIONABLE TIPS FOR THE WEEK:

Track What Matters to Drive What Matters

1️⃣ Make the Goal Visible

Don’t just keep goals in your head. Put them where your team can see them. On a whiteboard, in your huddle notes, or in weekly emails. Visibility creates ownership.

2️⃣ Share Progress, Not Just the Final Result

Progress is motivating. Whether it’s 60% or 96%, when your team sees they’re getting closer to the finish line, they move with purpose.

3️⃣ Connect the Dots

Tell your team why the goal matters and how their role contributes. When staff understand the impact of their work, they bring more energy and excellence to the table.

It’s not about micromanaging.

It’s about giving people something to rally around.

TANIA'S TECH TIPS:

Use a Simple Tracker to Keep the Team Focused

You don’t need expensive software to track goals. A simple Google Sheet works wonders.

Track patient volume, no-shows, production, or referrals

Share it weekly with your team

Highlight small wins to keep energy high

💡 Pro Tip: Assign one team member to update and distribute the tracker weekly. It reinforces accountability without adding stress.

WHAT I’M READING:

Traction by Gino Wickman

This book outlines the Entrepreneurial Operating System (EOS), which helps businesses get organized and grow stronger. One of its key tools is the Scorecard. It’s a short list of numbers you review every week to measure progress.

“What gets measured gets done. What gets measured and reported improves exponentially.”

When your team tracks the right numbers consistently, it’s easier to spot trends, solve problems, and maintain momentum.

It’s a great reminder that clarity builds focus.

And focus drives results.
